Manage Marketing Projects and Tasks

This article is about using the MicroDB Marketing Database template to manage marketing projects and tasks. All databases are fully customizable so they can adapt to your particular process.

This article shows you how to:

  1. Customize the workflow to manage your projects and tasks.
  2. Create a new project.
  3. Create and assign project tasks.

Customize the workflow to manage projects and  tasks

In this section we’ll show you how to set up a simple workflow to manage your projects and tasks using six tables.

  • Project Status
  • Project Priority
  • Account
  • Contacts
  • Projects
  • Tasks

In your marketing database, click the Table List to see all of the available tables in your database.

From the list of tables, choose Project Status to open the Table View for that table.

This table is where you can modify the status of your project to customize your workflow. 

Next, modify the list of labels that best reflect your preferred Project Status types.

Next, we’ll add project priority types.

From the list of tables, choose Project Priority to open the Table View for that table.

This table is where you can modify the priority of your projects to customize your workflow.

Next, we’ll add an account.

Choose the Accounts table in the Table List.

Review the column headers in the Accounts table. 

Note:

A key feature is the ability to change table columns quickly. You can easily add, remove, or rename any column on any table.

Add a new account to the Accounts table.

Next, we’ll add a client contact.

From the list of tables, choose Contacts to open the table view for that table.

This table is where you can modify the details of the client contact.

Click the add button to create a new contact.

Create a new project

From the Table List, select the Projects table.

Add a project by completing the fields for project name, project priority, project status and completing the other fields on the form. Assign the project to a team member by selecting from the ‘Assign To’ drop down list. Then save the form.

With the project created and the team member assigned, it’s ready for work.

Team members can be notified by email when they have tasks. To learn more about notifications see: Setting up Notifications

Create and assign project tasks

Now we are ready to create some tasks for the project and assign them to the team.

From the Table List, select the Tasks table.

Add a task and choose the related project from the drop down list. Then enter values for the other fields. If the task is ready to work, choose a team member from the ‘Assigned To’ drop down list to assign the task.

Finally, click the save button and the new task appears in the Table View. If the task was assigned to a team member, they will be notified by email that they have a task waiting for them, so long as notifications are turned on.

Not bad right? You have just created a custom workflow for building your  marketing projects & tasks.
